Whether you’ve done a hundred trips or this will be your first, organising to travel away is no small undertaking and we want to help you to make the organisational process as easy as possible.

Step 1 – get a quote

We know you might have to get a few quotes but we’d love you have 10 minutes of your time on the phone to understand more about your group and to explain what we can offer. If previous tours could be improved on then let us know and we’ll tailor a proposal to meet your requirements. After one conversation we’ll then send you emailed price proposals.

Step 2 – narrow it down

We don’t expect the first offer to be perfect, let us know how the first quote compared to your expectations, we’ll then adapt it further

Step 3 – launch the trip

We’ll provide you with a parent version of the quote proposal that you can send out with pictures and links to give as much information as possible.

Step 4 – collect deposits and finalise your tour

A booking is confirmed upon receipt of a first deposit payment and completed booking form. A list of passenger names (as per passports) may be required for flight bookings.

Your group’s safety is our primary concern whilst you are away.

All our suppliers are asked to complete safety audits or risk assessments and provide evidence that they adhere to all relevant national and international laws in their sector.

Whilst on tour, Energy Travel staff can be contacted by party leaders on a 24 hour basis. You will also have a tour manager or destination contact to help whilst away. Furthermore, all our staff as well as tour managers and UK coach drivers must have up-to-date DBS checks in order to accompany groups with under 18s.

Basic Rules for Packing

- Going by air? Which airline? What is the weight limit? Are there any maximum dimensions for luggage? Find this out before you start

- Going by coach? Soft-shell cases are strongly advised to ensure everything fits on the coach

Ski

Rember that skis, boots, poles and helmets should be provided by the rental company in resort. In terms of clothing, you can think too much about what to take on a ski trip. In the evenings, you will want normal clothing plus some trainers. During the day is when some specific clothing might be needed so check out the download below to tick off what you need to take.

Two general rules are:

- More layers are better than one thick coat.

- You must have googles in case of low visibility

Want to take your own skis? You'll need to check whether this is possible as there may be a supplement to pay.

Teachers - also included below is the Ski Day List - Print one out for each of your rooms in the hotel and stick a copy to the back of the door. Forgetting gloves or even the lift pass is the main reason for groups missing lesson time.

Sport

Kit lists will be sport specific. You'll need your sports uniform plus clothing suitable to your destintation. If you play a sport with bats or rackets, you'll need to know whether kit bags are going on tour or whether you need to pack your own equipment in your sports bag. If the latter, it's vitally important you know about weight limits on flights so as to avoid any fees at the airport.

If you want to see your destination before you head away with your group then Energy Travel provides a variety of ways to help you plan and feel confident about running your trip.

Individual Inspection Trips (IVs)

Let us know when you first enquire about whether a trip to resort will be required. Energy Travel will help you plan this trip and we will provide a budget for you to work to, allowing you to choose when you go, how many people travel and how long you go for.

This budget will be reimbursed to you or deducted for the final balance of the tour. By doing things this way, you can book your flights and find the route and times that work best for you – it also means you can complete online check-in and have tickets on your phone. Car hire abroad must be made by the lead driver and a credit card will need to be provided on collection for this reason you must book this element of your trip

Group Inspection Trips

Each year Energy Travel organises complimentary group trip to visit some of our amazing destinations so that party leaders can check out where they are going or perhaps see where they might want to go next year. Room may be available for partners to accompany you though there will be a cost associated with this, please get in touch for further information. Places on Group Inspection Trips are limited.
